How Google Workspace pricing actually compares

On sticker price alone, Google Workspace and Microsoft 365 land within a dollar of each other at every tier. Zoho Workplace is meaningfully cheaper. A Dropbox + Fastmail + Zoom DIY stack is meaningfully more expensive once you add the third-party email host and a video tool. The calculator above uses each vendor's published annual-billing price for their US small-business plans.

Two things move the needle at small-business scale:

  1. AI is bundled with Google Workspace. Gemini is included in every paid Workspace plan since 2025. Microsoft 365 Copilot is a separate $30/user/month add-on. For a 10-person team, that's $3,600/year on Microsoft for the same AI you already have on Workspace.

We pull list prices, not promotional discounts, so the calculator is a like-for-like comparison.
Why does the calculator add a Copilot line for Microsoft 365?
Google Workspace bundles Gemini AI into every paid plan at no extra cost. Microsoft 365 charges $30/user/month extra for Microsoft 365 Copilot — so a fair comparison adds that line. You can toggle it off if AI is not part of your evaluation, but for any team that wants AI assistance in their suite, the apples-to-apples cost on Microsoft is the plan price plus Copilot.
How accurate is the 10% discount?

No — the calculator shows what you would pay after the free trial. Every paid Google Workspace plan includes a 14-day free trial with no credit card required, so your real Year 1 spend is roughly two weeks less than the number shown.
What if my team is bigger than 300 users?
Google Workspace Business plans cap at 300 users — above that you need Workspace Enterprise, which is custom-priced. The calculator caps the user input at 300 for that reason. Contact Google Sales for an Enterprise quote.
